Some price ranges overlap because machines have different features and configurations. We’ll help you choose based on what your office needs.

Your rental, explained

What Shapes Your Rental Quote?

The right machine

Your print volume, number of users and need for A3 or colour help us recommend equipment that suits your workload.

The right agreement

Choose from standard 36-, 48- or 60-month rentals. We explain the monthly payment, any escalation and what happens when the agreement ends.

The right support

Consider toner, service cover and usage charges alongside the equipment rental, so you understand the expected monthly bill.

The guide prices above use a 60-month term. We can quote separately for 36 or 48 months.

Built around your office

Look beyond the rental figure.

The machine, your print volume and the agreed service cover all contribute to the monthly cost. Compare them together before choosing a quote.

Is Maintenance Included In The Rental Price?

It depends on the agreement. Before comparing monthly prices, check which maintenance and consumables are included and which are charged separately.

We offer service plans for machines we supply through rental, finance or outright purchase. Depending on the agreed plan, these can include maintenance, servicing, technical support and toner supply. On supported machines, remote monitoring helps us check toner levels and identify when a service may be needed.

Ask specifically about toner, parts, labour, call-outs and any usage charges. If your office needs an agreed response period or a replacement machine during repairs, discuss those requirements before signing so you know what can be provided.

You can read more about our printer and photocopier service plans before discussing a suitable machine with us.

How To Compare The Total Monthly Cost

Two quotes can show similar rentals but lead to different monthly bills. Give each supplier the same estimated number of black-and-white and colour pages so you can compare the costs fairly.

Check these items alongside one another:

Item to compare What to ask
Equipment Is it the same model, condition and configuration, or a genuinely comparable machine?
Contract What is the term, and which charges can increase?
Printing Are pages included? What are the black-and-white and colour rates, minimum charges and excess-page rules?
Support Which consumables, parts and services are covered?
Setup Are delivery, installation and user training included or charged separately?
End of agreement What happens when the rental ends, and what are the return, renewal or cancellation conditions?
Total What is the expected bill at your printing volume, including VAT and any other fees?

If printing is charged separately, add those charges and any separate service fees to the equipment rental when comparing your monthly costs. Account for any included pages, minimum charges and other fees as well.

If you already have a printer or photocopier agreement, a recent invoice and your monthly print volumes will help us understand your current setup. We can then see whether we can offer a more suitable or better-value solution.

Are Month-To-Month Printer Rentals Available?

We offer month-to-month rentals on selected refurbished machines, subject to availability and the agreed terms. This is a separate option from our standard 36-, 48- and 60-month rentals.

Ask us which machines are available, what they cost and what service is included. We’ll also explain the notice requirements. Month-to-month rentals are quoted separately from the 60-month prices above. Browse our demo and pre-owned photocopiers to see some of the machines in our range.
