Should Your Business Rent, Finance Or Buy A Photocopier?

When an office needs a new printer or photocopier, the first question is often whether to rent it or buy it outright. There is no single answer that suits every business. Your budget, expected workload and plans for the next few years all matter.

At RAC Technologies, we help businesses across Johannesburg and Gauteng compare rental, finance and outright purchase options for Toshiba printers and photocopiers. The aim is to find equipment and payment arrangements that work for your office.

Start With The Machine Your Business Needs

Decide what the equipment needs to do before comparing how to pay for it. Otherwise, you may end up comparing a compact A4 printer with an A3 multifunction photocopier that serves a much larger team.

Consider your monthly print volume, number of users, colour requirements, paper sizes and available space. If your office needs several machines, look at the whole setup rather than choosing each device in isolation.

Once the requirements are clear, you can compare payment options for genuinely comparable equipment.

Renting A Printer Or Photocopier

Renting spreads the equipment payments over an agreed period. Our standard rental terms are 36, 48 and 60 months, with separate month-to-month options available on selected refurbished machines.

A rental may suit a business that wants structured monthly costs without paying the full purchase price at the start. The agreement still represents a commitment, so check the total payments, any escalation and what happens if your requirements change.

Ask about the end of the agreement too. Do not assume that paying rent automatically means you will own the machine when the term ends.

Built around your office

Choose around your business.

Consider how long you need the equipment, the cash you want to commit and the support your team needs.

Financing The Equipment

Finance can also spread payments over a period rather than requiring an outright purchase. We offer finance options over 36, 48 and 60 months, subject to the applicable agreement and approval requirements.

The terms matter more than the label alone. Ask who owns the machine during the agreement, whether ownership can transfer at the end and whether any final payment or other conditions apply.

Your proposal should explain the payment structure and the service plan separately enough for you to understand both.

Buying Outright

An outright purchase may suit a business that prefers to pay for and own the equipment from the start. You can compare the purchase price directly, but it is still worth allowing for the ongoing cost of printing and support.

Ownership does not remove the need for toner, maintenance and servicing. We can discuss a service plan as part of supplying the machine so that you have a clearer picture of the ongoing arrangements.

Compare The Options On The Same Basis

Question Why it matters
Is the equipment comparable? Model, condition, configuration and capacity should suit the same workload.
What is payable at the start? Compare deposits, setup charges and the purchase price where applicable.
What is payable over the full period? Include any escalation or final payments stated in the agreement.
What does printing and support cost? Compare the same colour and black-and-white volumes and service scope.
What happens if needs change? Check upgrade, cancellation, relocation or return conditions rather than assuming flexibility.
What happens at the end? Confirm ownership, return and renewal arrangements.

If you currently have a supplier, bring the existing invoice and agreement into the comparison. That helps establish what you are paying for now and what would change under a new proposal.

Think About The Workload Ahead

A machine that suits five users today may not suit a much larger team later. Equally, there is little benefit in paying for a high-volume system if your office rarely prints.

Tell us about any expected changes, such as additional staff, another branch or a move towards more digital documents. We can take those plans into account when recommending the equipment and discussing payment options.

Service Matters With Every Option

Whether you rent, finance or buy, understand the support available with the machine. Ask about toner, parts, labour, call-outs and how printing charges are calculated.

Our printer and photocopier service plans are available for machines we supply. The agreed plan should fit the equipment and how your office uses it.
