How to Compare Printer & Photocopier Rental Quotes
Look beyond the monthly rental. Compare the machine, running costs and support so you know what you are paying for.
On this page
To compare printer rental quotes fairly, ask each supplier to price for the same office needs. Check the monthly equipment payment, page charges, service cover and contract length together. The cheapest rental does not always give you the lowest total cost.
Start with the same office needs
Tell each supplier roughly how many pages you print each month, whether you need colour, and whether you use A3 paper. Explain what slows your team down: waiting for large jobs, scanning documents one page at a time, or constantly refilling paper.
You do not need to know which machine to choose. That is where practical advice helps. RAC looks at your documents, current equipment and budget before recommending a Toshiba printer or photocopier.
Use the same requirements for every quote. An A4 desktop printer and an A3 floor-standing photocopier serve different needs, even if their print speeds look similar. If you are unsure of your usage, our meter-reading guide explains how to check it.
Check what each quote includes
| What to compare | What to ask | Why it matters |
|---|---|---|
| The machine | Which model, paper trays, document feeder and accessories are included? | A photo may show extras that are not in the price. |
| Monthly payments | What is the rental, how long is the agreement, and are there separate service payments? | You need to know the full monthly commitment. |
| Page charges | What are the black-and-white and colour rates? Are any pages included? | The same number of pages can cost different amounts under different plans. |
| Service cover | Does the plan include toner, parts, labour and call-outs? What is excluded? | Clear cover helps you plan for maintenance costs. |
| Support | Who do we contact, during which hours, and what response is agreed? | A response target is not the same as a guaranteed repair deadline. |
| Other costs | Are delivery, installation, training, insurance or annual increases charged separately? | These can affect the value of the quote. |
| End of the agreement | What notice is required? Is the machine returned, renewed or purchased? | Finishing the payments does not always mean you own the machine. |
Compare a quiet, normal and busy month
Use the same page counts for each quote. Check that every figure either includes VAT or excludes VAT, so you are comparing like with like.
Quiet month
What will you still pay when the office prints very little? Check the rental and any minimum service charge.
Normal month
Use your usual page count to estimate what you are most likely to pay each month.
Busy month
Check the charge for pages above any allowance and whether the machine can handle the extra work.
Add the equipment payment, service and page charges, and any other agreed costs. A low rental can be outweighed by higher running costs.
Our cost-per-page calculator lets you use the figures from your own quote. It does not assume any supplier’s rates.
Clear up the details before you sign
Ask for a written explanation of anything that is unclear. Terms such as “all-inclusive” should come with a list of what is covered. Check whether equipment finance and servicing have separate agreements or end dates.
- Confirm which charges may increase and when.
- Check that the installation includes the printing and scanning setup you need.
- Ask what happens if you move offices or need a different machine later.
- Keep the approved quote and service details together.

Choose support you can rely on
A good photocopier should make work easier. The support behind it matters just as much. Ask how you report a fault, arrange toner and get help when your team cannot print or scan.
RAC provides professional maintenance and service plans for equipment we supply. Depending on the agreed plan, cover can include toner, parts, labour and call-outs. For supported machines, remote monitoring can help us track toner levels and identify service needs.
We explain the cover for your machine before you commit. If a temporary replacement machine or a particular response arrangement is important, ask us to confirm it in the proposal. Explore our printer and photocopier service plans.
Find out whether you could pay less
If your current printing costs feel too high, you do not have to work through them alone. A free RAC print cost assessment looks at your existing equipment, page usage and monthly spend. We look for avoidable costs and a setup that better suits your office.
That may mean a more suitable Toshiba machine, a different service arrangement, or fewer devices doing the same work. We explain the recommendation and compare the costs clearly. Savings depend on your current setup; we will not promise a saving before checking the figures.
Request a free print cost assessment and tell us what you currently use. A recent invoice can help, but you do not need to send your full contract.
Straightforward answers
Common questions
What do I need to compare printer rental quotes?
Start with your monthly page count, colour and paper-size needs, and the proposed contract length. Compare the machine, rental, page charges, service cover and extra fees together. We can help if you are unsure of your usage.
Is the lowest cost per copy always the best deal?
No. A lower page rate can come with a higher rental or minimum monthly charge. Compare the full monthly cost at your usual printing volume.
Can RAC help reduce our printing costs?
Yes. Our free print cost assessment looks for ways to reduce unnecessary spending while keeping the equipment and support your office needs. Any saving depends on your current costs and the solution you choose.
